A status meeting is a symptom

A status meeting tells you something before anyone says a word in it: the status is not written down anywhere the team trusts. That is the view I keep coming back to when owners tell me their Monday mornings disappear.

What the meeting is really doing

Go round the room in most small businesses on a Monday and you will hear the same shape of update. Where the job is. Who is waiting on whom. What slipped last week. Each person speaks for a minute and waits through everyone else's minute.

None of that is wasted effort in itself. The information matters. The problem is that the meeting is the only place it exists. It lives in people's heads, in WhatsApp threads and in a sheet that was last touched on Thursday, and the meeting is the weekly ritual of pulling it out into the open.

Microsoft's 2023 Work Trend Index put inefficient meetings at the top of the list of things that disrupt people's productivity. Only about a third of the people surveyed thought they would be missed in most of their meetings. I am not surprised. A status round is a meeting where most people are there to hear one sentence that concerns them.

Why cancelling it rarely works

The obvious fix is to cancel the meeting. In my experience that only moves the problem. The questions do not go away, they just arrive one at a time during the week, by message and by tapping someone on the shoulder. The meeting was at least a batch.

The meeting goes away properly when the answer is already visible. When every job sits in one place with its stage, the person who owns the next step and the date it is due, nobody has to ask. The status is a fact you look up, not a story someone tells.

What I look for first

When we sit with a business, the first thing I want to see is where the truth about a job lives today. Usually it is in four or five places at once, and nobody is quite sure which one is current. That is the real cost. Not the hour on Monday, but the uncertainty the hour is trying to fix.

That is why the Business Operating System starts by mapping how the work already moves, and only then gives each job one record that updates as the work is done. The meeting can stay if a team likes it. It just gets to be about decisions instead of updates.

Frequently Asked Questions

Should a small business have a weekly status meeting?

It can, but it should be short and about decisions. If the meeting exists mainly to find out where jobs stand, that is a sign the status is not visible anywhere the team trusts.

Why does cancelling status meetings often fail?

Because the questions remain. Without one visible place to check status, people ask one at a time through the week, by message or in person, which can cost more interruptions than the meeting did.

What replaces a status meeting?

One record per job that shows its stage, the owner of the next step and the due date, updated as the work happens. Then status is something you look up, not something you ask for.
